Contract Duration: November 2024 – November 2025

 

One (1) Project Administrative Aide V

 

Status of Appointment: Contract of Service

Monthly Salary: Php 23,693.00

Duration: Six (6) months, subject to renewal

 

Minimum Requirements:

Education:       Completion of two years studies in college

Experience:     One (1) year of relevant experience

Training:          Four (4) hours of relevant training

Eligibility:         None Required

 

Preferred Qualifications:

 

  1. Bachelor’s Degree in Business Administration, Communications, Project Management, or related field;
  2. With at least one (1) year of experience in administrative support, preferably in project-based roles or working with multiple stakeholders;
  3. Experience in handling procurement, event coordination, and stakeholder communications;
  4. Familiarity with project management software and tools is a plus.

 

Desired Skills:

  • Strong organizational and multitasking skills to handle scheduling, document management, and event logistics.
  • Excellent verbal and written communication skills for coordinating with internal teams and external stakeholders.
  • Basic budgeting and financial tracking skills to support expense management and reporting.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with digital communication tools.
  • Attention to detail and problem-solving abilities, ensuring tasks are completed accurately and on time.

 

Other Requirements:

  • Willingness to handle occasional travel for project-related events and training.
  • Ability to work under deadlines and adapt to changing project needs.
  • Professionalism in addressing stakeholder inquiries and fostering positive relationships.
  • Strong teamwork and collaboration skills to support seamless project operations.

 

Duties and Responsibilities:

  1. Provide administrative support to the project team by organizing meetings, preparing agendas, and recording minutes to ensure effective communication and documentation of project activities.
  2. Assist in coordinating communication between project stakeholders, including clients, team members, government agencies, and private partners, to facilitate collaboration and information sharing.
  3. Manage procurement requirements for the project, including sourcing vendors, obtaining quotes, and processing purchase orders, to ensure the timely acquisition of necessary resources and supplies.
  4. Monitor project timelines and milestones, tracking progress against established schedules and identifying potential delays or bottlenecks for proactive resolution.
  5. Support the project manager in preparing project reports, presentations, and other deliverables, ensuring accuracy, completeness, and adherence to project requirements.
  6. Coordinate logistics for project-related events, workshops, and training sessions, including venue booking, travel arrangements, and catering, to facilitate the smooth execution of activities.
  7. Maintain project documentation, including contracts, agreements, and correspondence, in an organized and accessible manner for easy reference and retrieval.
  8. To ensure fiscal accountability and compliance, assist in budget tracking and financial management for the project, including expense tracking, invoice processing, and budget reconciliation.
  9. Act as a liaison between the project team and external stakeholders, promptly and professionally addressing inquiries, requests, and concerns to maintain positive relationships.
  10. Provide general administrative support as needed, including filing, data entry, and office organization, to contribute to project operations' overall efficiency and effectiveness.
